| Frequently asked questions How do I start and run a search using 'Business' with ACT!, then export the results to ACT!? Answer: 2. Click 'help' and 'about'. Get the version number, and send this to us in an email, so we know what version you are using. 3. Click 'file' then 'new database' 4. Pick a name, such as 'salesleads'. 6. It should say 'database 'salesleads' successfully created.' 7. Click the 'new' button' 9. Click 'my Search' or 'Express Internet Search' 10. Here you should see a blank to enter keywords. 11. Enter the types of businesses you are looking for , or some keyword which identifies them. 13. Let the program start running. It will take hours to get many leads, possibly run overnight. 14. Numbers should start appearing, such as how many phones, addresses, etc. found. 4. Select the fields you want to export (doesn't support ACT! 2005 yet.) 6. You will see a notification to find your act database and make sure it appears in the box below. 8. Click 'Browse' to locate your ACT! database. 9. You can find where it is by opening ACT! and clicking 'file', then 'save as'. 10. This should show you the location where it is. 11. You might want to create an empty ACT! database first, so you don't mix all these leads with your normal database of contacts. 12. To create new ACT! database click 'file', then 'new', and follow the instructions. 13. Now browse the new ACT! database in 'Business' by pressing the 'browse' button, then click 'open' 16. Now click 'finish', and the leads should be exported. You will see ACT! start up, if not already open, and the actual leads being imported. 17. Once done, go browse the ACT! database. 18. Note: to export the same leads again, you must click 'export' in 'Business', then click 'export options', then click the little button which says 'Mark all records as unexported'. This prevents you re-exporting the same leads to ACT! twice. Can I restart the search tomorrow. Answer: Yes. All you do is click the 'resume' button on top of the software toolbar. It remembers your file name and all the sites visited. All the contactss found are already in the database. How do I pick a new database Answer: Just click 'File', then 'New database'. Choose the folder where you want the database and click 'open'. The database will be created and a message that it was successfully created. Do the search engines go all over the world Answer: Results from all over the world are in the search engines, even though you didn't ask for it. Do I need Goldmine installed first in order to import Answer: GoldMine doesn't need to be installed to run 'Business', but when you want to export from 'Business' it needs to be installed. You initiate the export into GoldMine from 'Business', not from GoldMine. Just click 'tools', then 'Locate Goldmine' How many files are created, what is the track database. Answer: Two files are initially created: such as: sample.mdb sample_track.mdb After running a search 2 more appear: sample_tracka.txt sample_trackb.txt These hold the names of all the links that haven't been visited yet. Also, the sample_track.mdb holds a record of everything that has been visited. I opened the file today and all the leadss are gone. Answer: The leads will never be deleted unless you specifically empty the database. The leads must be in another search file than the one you think. Usually sample.mdb opened the 'Business' Pro. The search loading pop up came up and said please wait...It appears to be loading the last search that I did last night which searched for approx 4 to 5 hours before I stopped it. Anyway, this "search loading please wait" has been like this now for two hours and in the window where it says "checking web site" it says retrieving. Also under the report button there is a green light that keeps flashing. How long does it usually take to load a file? My processor on this computer is a Pentium 4 with a speed of 1.7 Ghz and 256 mb ram. The program is hung up, please restart it. Answer: The program is hung up. Try closing and restarting it. It shouldn't take more than 20 seconds to open up anytime. Review Search Results does not take me to a screen where I can see and edit the leads. Instead the screen shows the websites that were used in the search. How do I get to the view/edit leads screen? Answer: Click 'edit', then where it says 'all records', click on this and select web sites, then press finish. The search never stops allthough no more leads are being added. Is it possible for the program to get in a continuous loop? Answer: Sometimes a bad patch of urls adds no more leads for a long time. The program could also be in some kind of a loop. You might restart it, or restart the computer and restart it. When you stop a search and start a new search are the search results of all searches consolidated into one database? Answer: All searches stay in the database. You just lose the ability to continue the previous search. I have been having some problems running the new program. I keep getting a script editor error and it wants to debug something. When this happens everything stops. Is there any known solution? Answer: Go to Internet Explorer/Tools/Internet Options/Advanced/Browsing and checked Disable Script Debugging. Question: Let's say that I want to start a search and I want to put the result of that search in a folder and that I want to stop that search and go back to it after having run another search on another topic. How do I do to keep the searches separated and to go back and forward to them? I assume that I can create a new database for every search and every time go back to it. Is that correct? Answer: Yes, that is correct. It is best to have one database for each search. Let's say that I run a search, I get some leads, and I export them. We know that even if I let the system running for 3 hours I might not get all the leads available under the key words used. Now, if, the day after, I want to get more leads under the same key words but I want to avoid to gather the same leads and export them again. What do I do? Imagine that I have in the meanwhile also done another search on a different topic. Answer: Just press 'resume' and it will continue the previous search. Also, in newer versions of the program, each lead is marked as being exported, so it won't be exported again. If you have done another search on a different topic in the same database, you can't resume the previous search. If you keep them in separate databases, then you just click 'file', then 'open' and locate which ever one you want to continue. Press 'open'. After that, you can just press 'resume'. Question: I have all four boxes checked that are on the search wizard page. 'Business' has searched over 3000 sites and has 43000 to go according to the stats. It apparently has encountered a script or something at a website and it is now unable to get past this site without locking up. I can't seem to figure out how to manually delete this site and I can see in the keyhole "checking website" that it's the same site that is locking up the computer every time I restart. I have compressed the database using the maintenance tool. I have absolutely no working knowledge of Access so if there is a way to scrub the website from the search list....let me know and I'll attempt to do it or get someone here Answer: It is probably getting something like 'VB Script error', and it repeatedly gets this. We will put an update out shortly which completely avoids these errors. It will apply to the 2004 version. They become more prevalent as time goes on, and hang up the program. Also, you could edit those text files you found. Change all occurances of the trouble web site to something else, even if it doesn't exist. It may slow down the search, but will avoid going to the trouble web site. Checking 'run unattended' may avoid many of these hangups. One simple way to avoid the errors is if you restart one of these searches, put minus, followed by the trouble web site domain in the search criteria. So if you were searching for 'life insurance company' you could do it like this: "life insurance company" -www.troublewebsite.com This would reject any web sites which even point to the trouble one, thereby avoiding the hangups on future searches. |
